You have a new insurance client, what do you do?

Let me know the name of the client you are sending. The first person who sends me a client gets to “claim” that client as theirs and get a higher pay rate; So, you want to let me know before they come through another channel. We are all connected in this small community so the only way I can determine who’s client is it is by where I hear the name first.

Work Comp

The client’s doctor needs to name the massage provider in the treatment plan. Its best if they can name the Big Island Massage Network as the provider, that way another therapist in the network can cover for you if necessary. But if they name your name or business name that works too. The doctor will get the plan approved by the clients case worker and send us the treatment plan. Please have them email it to office@bigislandmassagenetwork.com or fax it to at 844-781-8303. Let me know when you have booked the first session. In addition to the SOAP notes, a report will be required when the treatment plan is complete or expires, or if the client stops their treatment, which ever comes first.

No Fault Auto

No Fault is a little more complicated.

  1. Let me know the clients name so I don’t send them to someone else.

  2. Have the client fill out the Claim Info Form. With that information, I will call the insurance company and make sure the claim is open, as well as find out if there are any deductibles and copays.

  3. Next, I need to call the client and try to assess whether there are enough funds remaining in the PIP to cover the massage. If it is uncertain, I will discuss the possibilities and risks with you.

  4. Have the client or their doctor send me the prescription to auto@bigislandmassagenetwork.com or fax to 844-781-8303. Just because the doctor writes a prescription doesn’t mean the insurance company will accept it so I will review it to make sure it meets industry standards. I will talk with the insurance company about how to handle any deviations if any.

  5. At this point, I will give you the OK to start treating and send you the “Official Client Thread” via email. No fault payment is never guaranteed, but at this point you have a much higher probability to get paid.

  6. At the first session, check in the note system whether we have received the signed intake documents from the patient and if not, have them sign in the first session.

  7. As the prescription is nearing its end, fill out a progress report and send it to me. This will help the doctor decide on whether more treatment is needed.

(If you just want to get the client into your office as fast as possible, you can have them bring all the claim info info and prescription into their first session and I will check it after their first session. However, there will be greater risk of not getting paid until I can do the checks above. If you do this you should at least check the prescription dates are valid before treating.)
